Recent Updates for Vendors
- This section will include any updates or information that we need to communicate to all vendors in the lead up to the event. We suggest checking this page at least twice the week of the event (once on Monday, August 7 and once on Thursday, August 10). Any emergency / absolutely urgent updates will be communicated via direct email.
- INFO GUIDE. We just posted our Summer Fair Event Info Guide on Instagram.
- REMINDER: We don't necessarily want to come off as alarmist here but we have noticed, anecdotally, an increasing amount of COVID cases in the community (a few vendors have withdrawn from our recent events, including this one due to COVID). Anyway, we normally highly recommend the wearing of masks at our events and compliance always seems to be pretty strong across our vendor community and attendees. However, as a reminder and with extra emphasis, we are asking all attendees, vendors and staff to wear a face mask when inside the venue as much as possible. We will have free masks available at the door however we ask that as many vendors as possible try to bring their own and prepare accordingly.

Timed Entry for Attendees
Timed Entry for Attendees (but important for vendors to know) (our policy is on Slide 3 of our Info Guide):
- To avoid having people wait in lines outside to get into the event, we will be implementing a timed entry system for attendees.
- Head to the entrance of the venue. Someone from our staff will be passing out timed entry cards to the attendees. We will only distribute timed entry cards to people who are physically present at the time.
- Once you receive your timed entry card, you will NOT have to wait in line anymore. You can go elsewhere (we recommend heading indoors to the Westgate Center mall itself).
- Please return to the venue entrance at the time designated on your timed entry card. You will be allowed into the venue at that time.
- NOTE 1: If you have accessibility needs, please proceed to the venue entrance even if there is a line of attendees waiting to get in. You will not have to wait to get into the event.
- NOTE 2: If you made an online reservation for Mini Cat Town's Pop Up Kitten Lounge, please proceed to the venue entrance even if there is a line of attendees waiting to get in. Please be prepared to show our staff your email confirmation and an ID that matches the name on the email confirmation.

General Event Info
- Event Name: San José Summer Fair 2023
- Description: Featuring over 125+ artists, makers and creators within three (3) themed sections: Kitty Carnival (cat-themed carnival games, a Kitten Lounge by Mini Cat Town, cat themed vendors) + Froggy Fest (frog themed vendors) + Tiny Object Marketplace (vendors whose featured work is tiny, i.e. smaller than the palm of your hand). Free admission. All ages. Indoor Event. Free parking on-site. Service animals only.
- Dates & Times: August 12 (11 am to 5 pm) and August 13 (11 am to 5 pm)
- Venue: Westgate Shopping Center. IMPORTANT! When directing people to the event, please make sure to point out that the event venue is located next to Tuxedo Wearhouse located at 1600 Saratoga Ave #403, San Jose, CA 95129. If you just plug in "Westgate Center" or the event venue address it'll take you to the other side of the mall. Not the end of the world, it'll just entail more walking or circling around the property. The venue space itself does NOT have an entrance from the central mall area (despite being connected to the mall). People will have to enter the venue from the parking lot. View this map here to get an understanding of where you (and attendees) need to go once you arrive at the Westgate Center property (I know this is the Friend Fest diagram but the same info applies).

- Info Booth: Our info booth is located at the front entrance of the event. We will always have at least one (1) staff member there at all times.
- Contact Prior to the Event: Prior to the event, it is always best to email kbiggers@sanjosemade.com (me!) and info@sanjosemade.com (the rest of SJMADE's staff).
- Contact for Friday + Saturday + Sunday: For emergencies or urgent issues, please feel free to text me at 408-755-0676. I am usually unable to take an actual phone call during these times so text is preferred. Please let me know who is texting me (include business name) when you do text me.
- EMT. We will have an EMT stationed near the rear of the venue throughout the event.

Info About Your Booth
- BOOTH SIZE. Each booth space is 8'x8'. We ask that you keep your booth setup (tables, chairs, displays, signs) within the 8'x8' booth space which will be delineated with tape when you arrive. We ask this out of respect for your fellow vendors as well as out of the need to keep the walkways clear for attendees. Failure to adhere to this may negatively affect the jurying of your future applications to our events.
- TABLES, TABLE LINENS & CHAIRS. Vendors are responsible for bringing their own table(s) and chair(s) unless you ordered rentals. We will not accept any more rental orders as the deadline has passed. Since we'll be working with an event equipment rentals company, what we order is what we'll have. There'll be no extra tables or chairs available on-site the day of the event.
- BACKDROP. For most booths, there is no backdrop and there are no side rails at your booth. If you need to hang a sign, products and/or decor, you'll need to bring your own displays / materials to do so. Vendors who'll have a wall or pipe & drape behind their booth will see a notation on the Vendor Booth Assignments sheet.
- CANOPY. The use of canopies will not be permitted for this event unless you communicate the following to me (via email) at least three (3) days prior to the event: (a) Your canopy will fit entirely within your 8'x8' space, (b) Your understanding that you will NOT be permitted to use the canopy cover; just the frame itself, and (c) Your understanding that if you use your canopy walls, you will NOT display product, signage or decor on the exterior of the walls directly facing into the booth space(s) adjacent to yours unless you have their explicit consent to do so; in some cases your neighboring vendor may not want to have a wall of product / signage / decor facing their booth in a way where their customers may mistaken that as part of their booth.
- FLOOR. If you have a rug or some type of floor covering, we suggest bringing it for your booth space. It's not required however based on some vendor feedback we received after the last events we did at this venue, a few vendors communicated that they would've liked to have known about the conditions of the floor prior to the event so they could bring some type of rug or floor covering for their booth. The background on this is as follows: The former tenant of the space left the floors in fairly rough condition. Prior to our March and June events, we hired a service to remove the most substantial issues with the floor. The floors will be swept, cleaned and mopped prior to the event however there are permanent scuffs to the floor left by the previous tenant (Walmart) that you may want to cover (not the end of the world if you don't though).
- CAN YOU ONLY SELL ITEMS THAT ALIGN WITH THE THEMED SECTION YOU'RE IN? No. It is totally fine to sell items that are not aligned with the themed section you're in. In other words, if you're in the Tiny Object Marketplace section, you can sell non-tiny items at your booth. If you're in the Kitty Carnival section, you can sell non-cat-themed items at your booth. If you're in the Froggy Fest section, you sell non-frog-themed items at your booth. HOWEVER, since you are in a particular section, we do ask that you at least have your items that align with the theme on display / featured / clearly visible at your booth. We believe that themed events are a great way to create retail sales during non-holiday shopping seasons, so we feel like being able to deliver to our audience the promise of these three event themes will be beneficial to you and your fellow vendors at the event.
Other Vending Items
- SECURITY. The venue will be locked overnight from Friday to Saturday and from Saturday to Sunday (i.e. whenever our staff is NOT at the venue). Additionally, there will be security overnight from Friday to Saturday and from Saturday to Sunday. We will also have a security officer doing bag checks at the door on Saturday and Sunday.
- WIFI & MOBILE DATA. We have business grade wifi available at the event. During our events in March and June, we experienced some challenges with the mobile data reception at the event (particularly for Verizon and T-Mobile users ... AT&T users were not too impacted by this). To remedy this, we've installed business grade wifi at the venue. We will be providing vendors with the SSID and password at the event itself (there are two access points). As a backup (and just in general for events), we always recommend having a wifi hotspot for events as a backup option but this is not a requirement by any means. You can actually rent wifi hotspots for FREE from the San José Public Library: https://www.sjpl.org/hotspot.
- OFFLINE TRANSACTIONS. In case you have issues during the event with wifi and/or mobile reception, we suggest setting up Offline Mode on your payment processing platform (these are the instructions for Square but other payment processors should have Offline Mode too: https://squareup.com/help/us/en/article/7777-process-card-payments-with-offline-mode).
- ATMs. There are ATMs in the Westgate Center mall area but not within the event venue space itself.
- ELECTRICITY. We are not offering access to electricity for vendors at the event.
Friday Load-in
- Friday Load-in: Vendors will be able to load-in on Friday, August 11 from 12 PM to 6 PM. Since this is a mall parking lot, we ask that you park in the parking lot right in front of the venue and load-in from your parked vehicle. Please do NOT load-in from the curb outside the venue as you'll be blocking the flow of mall traffic. We will NOT have any carts or dollies for vendors to borrow during load-in so we recommend bringing your own cart/dolly.
- Arriving to the Venue: The venue is located at Westgate Center (which is a mall) located at 1600 Saratoga Ave, San Jose, CA 95129. Once you arrive at the Westgate Center mall property, please use this map to guide yourself to the parking lot closest to the venue. You want to head towards the Tuxedo Warehouse located at 1600 Saratoga Ave #403, San Jose, CA 95129.
- Check-in: Please make sure to check in with the SJMADE staff at the entrance when you arrive. We'll note that you've arrived for load-in, give you the wifi access info, inform you of any updates (if any) and give you vendor wristbands for the event (if you have multiple staff, you can request more wristbands).
Saturday Morning Load-in
- Saturday Morning Load-in: Vendors will be able to load-in on Saturday, August 12 from 7 AM to 10:30 AM. Since this is a mall parking lot, we ask that you park in the parking lot right in front of the venue and load-in from your parked vehicle. Please do NOT load-in from the curb outside the venue as you'll be blocking the flow of mall traffic. We will NOT have any carts or dollies for vendors to borrow during load-in so we recommend bringing your own cart/dolly.
- Check-in: Please make sure to check in with the SJMADE staff at the entrance when you arrive. We'll note that you've arrived for load-in, give you the wifi access info, inform you of any updates (if any) and give you vendor wristbands for the event (if you have multiple staff, you can request more wristbands).
Overnight
- The venue will be locked overnight from Friday to Saturday and from Saturday to Sunday (i.e. whenever our staff is NOT at the venue).
- There will be security stationed within the venue overnight from Friday to Saturday and from Saturday to Sunday.
- There will be security patrolling the mall property overnight from Friday to Saturday and from Saturday to Sunday.
Sunday Morning
- Our staff will open the venue to vendors only starting at 9 AM on the morning of Sunday, August 13. Please check in with our staff at the info booth if you misplace your vendor wristbands from the day prior.
Sunday Load-out
- Sunday Load-out: Vendors will be able to start loading out at the conclusion of the event at 5 PM. We ask that you cart or carry your stuff to your parked vehicle. Please do NOT bring your vehicle to the curb outside the venue as you'll be blocking the flow of mall traffic.
Vendor Code of Conduct
- We are asking everyone to read (prior to the event) and to try their best to adhere to the following vendor code of conduct.
- Failure to do so may negatively affect the jurying of a vendor's future applications to our events.
- Egregious flouting of the vendor code of conduct may result in a vendor's removal from the event.
- We will exhaust every opportunity to avoid these situations (because we love having yall at our events) however as our events have grown, it's become clear that we need to define our expectations for the participating vendors at our events and how they exist within an event's community of vendors. If you believe you'll be unable to adhere to this code of conduct, please let us know and we can discuss.

Seller's Permit
- If you applied without listing a valid seller's permit number on your application, please email Kevin (kbiggers@sanjosemade.com) a valid seller's permit number before the event.
- If you have not yet obtained one, we recommend obtaining a temporary seller's permit. You can learn more about temporary seller's permits here.
- To register for a temporary seller's permit, click here (once you click on the link, find the tab that says Registration on it and click there and then find the button that says Get Started and click there): https://www.cdtfa.ca.gov/services/
- Our office phone number is 408-800-6825 if you need to list a contact phone number for San José Made.
- Temporary seller's permits are free to obtain and you should receive a valid number upon submitting your registration. Once you've obtained a valid seller's permit number, please email it to Kevin (kbiggers@sanjosemade.com).
Liability Insurance
- Participant represents that it has, or will have at the time of the Event, appropriate insurance to cover liability for the types of activities Participant will conduct at the Event. Participant covenants to be fully responsible for any of its liabilities, actions, or omissions, and will indemnify, defend, and hold San José Made (and its officers, employees, agents, vendors, affiliates, and representatives) harmless against any claims related to Participant’s liabilities, actions, or omissions.
- If you do not have liability insurance for doing events, we recommend looking into single event liability coverage. An example is the type ACT Insurance provides (view here). There are other providers who provide similar single event coverage.
- In the past, some vendors have needed to list San José Made and its contact information when they applied for liability insurance for a single event. Our info is San José Made, 2160 Tully Road, San Jose, CA 95122. Our office number is 408-800-6825.
