San José Craft Holiday Fair 2021 - Vendor Info

With this year’s San José Craft Holiday Fair quickly approaching, below you will find a final guide of information about vending at the event, including but not limited to: your booth space, load-in dates/times and what to expect leading up to the event.

Nov. 28, 1 PM PST:

SUNDAY LOAD-OUT INSTRUCTIONS

Before getting into load-out, we are asking that you exercise as much patience and precaution as possible when loading out. When driving in the loading dock area, please be aware of your surroundings and drive as slowly as possible!

  1. All three of the loading dock gates (the one near Hall A and B, the one near Hall C and the one near Hall D) will be open starting at 5:15 PM. Please do NOT bring your vehicle to the loading dock prior to having your booth materials and products packed up! 
  2. When you leave the parking lot, make a right out of the lot and circle around to the loading dock area. Make sure to NOT leave the premises, just make a sharp right as soon as you exit the garage itself and continue to bear right until you reach the loading dock area. 
  3. Our staff will be stationed in the area right before you can enter the loading dock area. Please stop when you see them. They will instruct you on where to go. 
  4. Tasman Drive will still be closed so to exit the premises, you’ll have to make your way back to Great America Parkway. The staff can help direct you there. 

You are able to cart your stuff up the elevator and to your parked vehicle too. Please keep in mind that there is only one elevator and the elevator is small so it cannot fit particularly large hauls of items. The semicircle area in front of the Convention Center will be blocked off during load out.

Nov. 27, 2021 at 9:45 PM PST:

Due to the expected traffic and traffic redirection due to the 49ers game at Levi’s Stadium this Sunday, we are recommending the following to vendors:

We STRONGLY RECOMMEND arriving BEFORE 9 AM in order to get a spot in the Convention Center Parking Garage. If you show the staff at the parking kiosk the parking pass here, they’ll wave you through. You can also tell them that you’re a vendor at the Holiday Fair event.

If you arrive AFTER 9 AM, you can still head to the Convention Center Parking Lot however, you may encounter significant traffic en route to the venue, you may have to wait in a long line to enter the lot and there may be limited spaces in the lot once you get in. We want to avoid a situation where you can’t find parking at the Convention Center and end up having to pay for parking in the nearby lots during a 49ers game because parking in those lots could potentially cost upwards of $50-$60 to park.

REMINDER: Starting around 3 PM, SCPD will be re-directing traffic away from the Convention Center (basically Great America Parkway becomes a one way street). Anyone who arrives after this time will either have to park far away from the venue OR they will have to be dropped off far away from the venue and will have to walk. If you know anyone planning to attend, we strongly advise them to either bike, take public transportation, get dropped off or arrive early (before 11 AM) so they can park in the convention center lot for free.

NOTE: Avoid Tasman Drive when heading to the venue. Tasman Drive will be closed starting early Sunday morning throughout the end of the game.

Any urgent communication will be posted to the top of this page. We’ll send a mass email if there’s anything super urgent but we’re always wary to send a mass email because it sometimes gets sent to one’s spam folder sometimes.

  • Nov. 24, 2021 at 3:40 PM PST: LOAD-IN CHANGES! We highly recommend that everyone uses the loading dock (regardless of whether or not you signed up for a time slot). The elevators and escalators taking you from the third floor of the parking lot to the ground level where the event is located are insufficient for heavy loads of stuff. The loading dock is large enough to accommodate everyone so please plan to use the loading dock when you arrive. Sorry for the last minute notification but we didn't quite realize how small the elevator was. If you only have a small amount of stuff to carry you can still load-in from the lot.

General Event Info

Event Page for Attendees

Event Dates & Times:

  • Friday, Nov 26, 2021: 12 pm to 6 pm
  • Saturday, Nov 27, 2021: 11am to 6 pm
  • Sunday, Nov 28, 2021: 11 am to 5 pm

Location: Santa Clara Convention Center, 5001 Great America Pkwy, Santa Clara, CA 95054 (view on Google Maps)

Pet Policy: Service animals only. The venue staff will ask you to leave (even if you're a vendor) if they see you with your pet and it's not a verifiable service animal. This is the venue's policy, not ours. 

COVID Policy:

  • All attendees, staff and vendors must wear face masks (properly) at all times during the event except when eating and drinking.
  • Refusal to do so will result in the offending party being removed from the venue.
  • Per Santa Clara County, we must cap the amount of people within the venue to 5,000 people at any given time. If and when we hit 5,000 people inside the venue, we will restrict attendees entry until people inside the venue begin to leave. Keep in mind, the venue is 110K sq. ft. and while our past events have been hugely popular, they have never hit 5,000 people inside the venue at any given time. Additionally, spreading out the event over the course of three days will help mitigate any extreme overcrowding. 
  • To minimize the amount of time attendees spend unmasked eating and drinking, we have significantly downsized the amount and size of sit-down eating and drinking area in comparison to past year's events.

If you text or email any of us during the event, please provide your Name, Business Name and Booth Number so our staff can best respond to your inquiry. SJMADE Staff will be wearing SJMADE t-shirts and staff badges with yellow lanyards.

Venue Hours for Vendors & Staff Only

  • On Wednesday, Nov. 24, the venue will be open to vendors & staff only from 3 PM to 8 PM. 
  • On Thursday, Nov. 25, the venue will be closed all day.
  • On Friday, Nov. 26, the venue will be open to vendors & staff only from 7 AM to 11:59 AM. Doors will open to the public from 12 PM to 6 PM. The venue will be open to vendors & staff only from 6 PM to 7 PM.
  • On Saturday, Nov. 27, the venue will be open to vendors & staff only from 8 AM to 10:59 AM. Doors will open to the public from 11 AM to 6 PM. The venue will be open to vendors & staff only from 6 PM to 7 PM.
  • On Sunday, Nov. 28, the venue will be open to vendors & staff only from 8 AM to 10:59 AM. Doors will open to the public from 11 AM to 5 PM. The venue will be open to vendors & staff only from 5 PM to 9 PM.

Wifi: We strongly recommend using mobile data from your devices at the event. The venue's in-house wifi options are fairly expensive (view pricing here) so we strongly suggest using mobile data to process transactions. There is free wifi in the lobby areas outside of the exhibitor halls.

Vendor Booth Amenities

Each 10'x10' booth space comes with a pipe and drape backdrop (white drape) that is about 8' tall and 10' wide. Additionally, a 3' tall pipe and drape divider separates each 10'x10' booth space from its neighboring space. 

We recommend vendors bring their own table(s) and chair(s). However if a vendor would like to rent a table(s), chair(s) and/or table linen and skirts (black skirt) from the venue, you can reserve them here:

The cost to rent a table is $35 per table. The cost to rent a chair is $2 per chair. The cost to rent a package which includes a table, a chair and table linen & skirt is $45. We pass along these fees entirely to the venue as that is their specified cost for renting these. 

DEADLINE TO PURCHASE: Thursday, Nov. 18 at 4 PM.

Load-In

There are two load-in periods: 

  • Wednesday, Nov. 24: 3 pm to 8 pm
  • Friday, Nov. 26: 7 am to 11 am

Wednesday Nov 24th Load-In (3 pm to 8 pm)

UPDATE (11/24): We are strongly recommending that EVERYONE uses the loading dock to load in their booth materials and products, regardless of whether or not you signed up for a time slot on the sheet below. The elevators and escalators taking you from the third floor of the parking lot to the ground level where the event is located are insufficient for heavy loads of stuff. The loading dock is large enough to accommodate everyone so please plan to use the loading dock when you arrive. Sorry for the last minute notification but we didn't quite realize how small the elevator was. 

If you only have a small amount of stuff to carry you can still load-in from the lot. 

This year's venue features several loading docks. If you'd like to use a loading dock, you will need to sign up using the sheet below for a loading dock time. Each time slot is for 30 mins. In the sheet, find your preferred time slot and enter your business name into the corresponding cell:

After bringing your items to your booth space, you must park your car in the venue's parking lot on the third floor. Out of courtesy of your fellow vendors, please leave the loading dock and park your vehicle BEFORE starting to setup your booth. We will be locking and leaving the venue at 8:15 PM sharp so please give yourself sufficient time to load-in if you will be loading in on Wednesday, Nov. 24. 

NOTE: If you are using the loading dock, we still recommend you bring your own carts and dollies to transport your stuff from your vehicle to your space. We will have a few carts available to use (must give our staff your ID in exchange for use of the cart) however if you have a cart, we recommend bringing it rather than having to wait to use one of ours.

If you are planning to just cart and/or carry your stuff from the parking lot, you do NOT need to sign up for a loading dock time slot. SEE UPDATE ABOVE BEFORE DOING THIS! Any big load-ins should be done from the loading docks based on what we saw during Wednesday's load-in If you only have a small amount of stuff to carry you can still load-in from the lot.

Parking

There are about 1,800 free on-site parking spaces available at the Santa Clara Convention Center's Parking Lot as well as its Secondary Parking Lot on Tasman Drive. For vendors, we strongly recommend parking on the third floor of the Santa Clara Convention Center's Parking Lot as it offers a direct bridge into the venue and right to the venue's stairs, escalators and elevators. Vendors will have access to free parking Wednesday (11/24), Friday (11/26), Saturday (11/27) and Sunday (11/28). 

Additional Parking Notes:

  • There are a few PERMIT ONLY entrances on the ground level of the parking lot. You will NOT be able to access the lot from these entrances. If you see these PERMIT ONLY entrances, please continue circling the lot until you find the main entrance (if you're looking at the image below, the main entrance to the lot is on the middle-left side of the pink oval). 
  • We would recommend vendors to park on the second floor (no direct bridge into the venue) and the first floor (there are some spots marked for the Hyatt Hotel's Valet Parking; your vehicle will be towed if it is parked in one of these spots).
  • You will NOT need a parking pass in order to receive free parking. Just find a spot and park. 
  • The Secondary Parking Lot on Tasman Drive (on the other side of the creek) will be a paid lot on Sunday due to the 49ers game.

Load Out

Between 5 PM and 5:30 PM, the loading dock doors will remain closed. We encourage all vendors during this time to pack up your booth materials and products. At 5:30 PM we will open the loading dock doors. Vendors will be able to use the loading dock area HOWEVER please keep in mind that there are 300+ vendors trying to load out at this time. Please be patient while waiting for a spot near the loading dock. Please drive slowly and carefully.

We ask that you please do not leave any trash behind in your booth. Due to this new venue's recently implemented rules, the event organizer (us) will be responsible for any trash left on-site at the conclusion of the event. While we have rented a dumpster for the duration of the event, once that dumpster is full, we are responsible for removing the rest of the trash ourselves. We ask as a courtesy to us that each vendor takes any non-food/drink trash back home with them to dispose of. Thank you!

Fire Marshal Warning

We've been notified by the venue that one of the event's potential city fire marshal may be overly strict when it comes to their evaluation of the event. While we don't expect anything too extreme given the straightforward nature of the event, we wanted to give everyone a heads up to make sure any booth decor (beyond their products, standing displays and table displays) is fire rated or can be sprayed with fire retardant spray at the event upon the marshal's inspection. 

Anyone who is using their canopy frame WITH the canopy cover should be prepared to either show the fire marshal the fire rated documentation of their canopy cover and/or be prepared to spray the cover down with fire retardant spray. As always, we strongly recommend not using the canopy cover if you are using the canopy frame. 

We will have some spray on hand at the event but our supply will be limited.

Sunday Traffic

Please note that we are encouraging all attendees planning on attending the event on Sunday to make it to the venue prior to 3:30 PM. After 3:30 PM, it will become difficult for attendees to reach the venue without having to park several blocks away from the venue and walk to the venue. These difficulties are due to the 49ers game on Sunday and the venue's proximity to Levi's Stadium. The venue has informed us that likely around 3:30 PM, Tasman Drive (starting at Great American Parkway and moving southward) and Great American Parkway will only allow one-way traffic moving away from the venue. 

NOTE: By the time the event ends, the streets should be fine in the area and the traffic will be moving in the same direction as the departing attendees and vendors.

On-Site Food & Drink

On-site food and drink will be available just outside of Halls C & D and on the second floor near the escalators and stairs. The food & drink stands will open 30 minutes prior to the event start. These stands will offer poke bowls, sandwiches, salads, coffee, tea, soft drinks, beer and wine.

Seller's Permit

If you applied without listing a valid seller's permit number on your application, please email Kevin (kbiggers@sanjosemade.com) a valid seller's permit number before the event. 

If you have not yet obtained one, we recommend obtaining a temporary seller's permit. You can learn more about temporary seller's permits here

To register for a temporary seller's permit, click here (once you click on the link, find the tab that says Registration on it and click there and then find the button that says Get Started and click there): 

Temporary seller's permits are free to obtain and you should receive a valid number upon submitting your registration. Once you've obtained a valid seller's permit number, please email it to Kevin (kbiggers@sanjosemade.com).

Liability Insurance

Participant represents that it has, or will have at the time of the Event, appropriate insurance to cover liability for the types of activities Participant will conduct at the Event. Participant covenants to be fully responsible for any of its liabilities, actions, or omissions, and will indemnify, defend, and hold San José Made (and its officers, employees, agents, vendors, affiliates, and representatives) harmless against any claims related to Participant’s liabilities, actions, or omissions.

If you do not have liability insurance for doing events, we recommend looking into single event liability coverage. An example is the type ACT Insurance provides (view here). There are other providers who provide similar single event coverage. 

In the past, some vendors have needed to list San José Made and its contact information when they applied for liability insurance for a single event. Our info is San José Made, 2160 Tully Road, San Jose, CA 95122. Our office number is 408-800-6825.

Shared Booths

We will be requiring all Shared Booths to follow the configuration in this diagram below UNLESS there is explicit consent from both vendors sharing the booth PRIOR to the event. If you do NOT want to share a booth with another vendor like this, we may be able to still accommodate an upgrade to a full booth space. To do so, we recommend emailing Kevin at kbiggers@sanjosemade.com with your request as soon as possible.
