Your Booth

  • Each booth space is 10'x10' in size. If you purchased a Full Booth, you will have access to all 10'x10' of space. If you purchased a Shared Booth, you will be sharing this 10'x10' space with another maker. You should have been informed of your booth partner by now. If you haven't please contact kbiggers@sanjosemade.com immediately.

  • Each vendor will receive use of a complimentary 8' table and a complimentary chair. Even if you are sharing a booth, you and your booth partner will each receive a table. You do not have to use our tables or chairs if you do not want to.

  • Each booth comes with an 8’ tall pipe and drape backdrop at the back of your booth. The drape is white.

  • Each booth will have a 3’ tall divider dividing it from its neighboring booths or booth. If you would like to move or remove the divider, please consult with your booth neighbor before doing so.

  • While we want your booth to be able to express your brand to its fullest extent, we ask that you please be considerate of your neighboring vendors. Any noises, scents, visuals or experiences that are deemed detrimental to your neighboring vendors and the overall event's experience are prohibited.

  • Just to address a common question from vendors who are new to this event: There are no booth spaces that are better or worse than any of the others. We do realize that there are sometimes venues with funky layouts or multiple floors where one booth location can definitely feel like it's better or worse than other booth locations. However, South Hall is one large giant rectangular hall. The booths are arranged in straight simple rows and based on last year, pretty much anyone who attended the event walked through all of the rows. Distribution of positive sales experiences (and there were a lot!) amongst vendors was spread throughout the entire venue, not focused on any specific locations.


Event Contact Before & During the Event

If you have any questions in the days leading up to the event, email is the best option. Email kbiggers@sanjosemade.com. 

If you have any questions during the event, you can do one of the following:

  • Email kbiggers@sanjosemade.com and someone from the SJMADE staff will come to you. Please make sure to mention your business name in your email.

  • Go to the info booth near the front entrance of the venue. There should be SJMADE staff and volunteers there.

  • Look for anyone wearing a STAFF or VOLUNTEER yellow volunteer lanyard. We'll be having staff and volunteers walk through the event periodically so feel free to flag down one of these people.


Event Description

On Dec. 15 and Dec. 16, San Jose Craft Holiday Fair will offer a festive, large-scale, all-in-one holiday shopping experience featuring an amazing showcase of 250+ makers, artists, designers and emerging brands. Shopping. DIY Workshops. Locally Sourced Food, Beer and Wine. Free admission.


Getting to the Event

When referring to the venue of the event, we ask that you use the venue's name South Hall and the specific address of 435 S. Market Street, San Jose, CA 95113.

Please do not refer to the venue as the Convention Center. This will mislead attendees as the Convention Center is an entirely separate building from South Hall (despite the fact that South Hall is managed by the same team who manages the Convention Center).


Parking

UPDATE: Dec. 14, 2018

For parking in downtown SJ, we always recommend checking out the ParkSJ website (http://parksj.org) which lists all the ParkSJ lots throughout the area, while including each lot’s pricing and driving directions. There are lots of parking lots (both public and private) within a block of the venue so regardless of where you park, it won’t be a long walk to the venue.

South Hall Parking Lot - 435 S. Market St, San Jose, CA
This lot directly surrounds the venue. It costs $15 (UPDATED on 12/14) for the entire day. There are 155 parking spots. You must purchase parking through the ParkSJ kiosks on-site. When you arrive for load-in, if you can find a spot in this lot I highly recommend taking the spot as it is the most convenient option + you can easily load-in from any of the spots.

Almaden/Balbach Parking Lot - 500 Almaden Blvd, San Jose, CA
The Almaden/Balbach Parking Lot is a half a block away from the venue. It has 45 spaces. It costs $7 for the entire day. You must purchase parking through the ParkSJ kiosks on-site. This lot is close to the venue and depending on your booth materials and products, it is fairly easy to cart/carry your stuff to and from this lot. 

Almaden/Woz Parking Lot - 401 Almaden Blvd, San Jose, CA
The Almaden/Woz Parking Lot is a block away from the venue. It has 390 spaces. It costs $7 for the entire day HOWEVER if there is a special event happening in the Main Convention Center building, it could cost up to $25 for the entire day. If you decide to park here, please read the signs at the entrance carefully. You must purchase parking through the ParkSJ kiosks on-site. 

Convention Center Parking Lot
We recommend avoiding the Main Convention Center Parking Lot if you can which has entrances on both Market Street and Almaden Blvd. Parking costs $20 for the entire day HOWEVER if there is a special event happening in the Main Convention Center building, it could cost up to $25 for the entire day. As a vendor, you are arriving to the downtown SJ area early enough so there should be available parking in one of the three above parking lots.

FREE STREET PARKING ON SUNDAYS
On Sundays, parking on the streets in downtown SJ is free HOWEVER please read the parking signs before parking your vehicle. There are some side streets in the area (the more residential areas) that are parking-permit-only. The residential side streets that are parking-permit-only in the area enforce their permitting rules even on Sundays. 


Event Schedule

FRIDAY, Dec. 14

FRIDAY LOAD-IN. 12 PM to 4 PM. You must pay $10 for this extra vendor amenity. You will not be allowed to load-in on Friday if you have not purchased the Friday Load-in option. Scroll down to the bottom of this page to find the purchase option.
VENUE IS LOCKED. 7 PM. At this point in time, the doors to the venue will be locked and secured. No vendor access will be allowed past this time.

SATURDAY, Dec. 15

SATURDAY LOAD-IN. 6 AM TO 10 AM. This is the regular load-in time. It does not require any additional purchase.
THE EVENT. 11 AM TO 5 PM. Doors open to the public.
VENUE IS LOCKED. 6 PM. At this point, the doors to the venue will be locked and secured. No vendor access will be allowed past this time.

SUNDAY, Dec. 16

SUNDAY, Dec. 17
VENUE OPEN TO VENDORS. 8 AM.
Only vendors will be allowed into the venue at this point in time. 
THE EVENT. 11 AM to 5 PM. Doors open to the public.
LOAD-OUT. 5 PM to 9 PM. All of your stuff must be out of the venue by 9 PM. 


Friday Load-in Instructions

Scroll down to the bottom of this page to view the list of participants who have already paid their Friday Load-in fee.

NOTE: You must pay $10 for this extra vendor amenity. You will not be allowed to load-in on Friday if you have not purchased the Friday Load-in option. You can use the payment option (scroll down to the bottom section) to pay for your Friday Load-in.

Load-in on Friday will take place between 12 PM and 4 PM. Please note that we will not accept any early or late load-in attempts. We will cut off load-ins (i.e. bringing anything outside the venue into the venue) at 4 PM sharp.

Your dolly or cart

While we will have a few dollies available, we highly recommend bringing your own dolly if you have one. As mandated by the venue, a union worker(s) must be on-site during load-in (and load-out). If you need help carrying or carting anything into the venue, a union worker(s) will be on-hand to assist you. We will keep the venue open from 4 PM to 7 PM to allow vendors to setup and arrange their booth.

When you arrive…

Once you arrive to South Hall at 435 S. Market St., San Jose, CA 95113, you can enter through the parking entrance on Market Street or the parking entrance on the corner of Balbach Street and Almaden Avenue.

NOTE: When you enter the South Hall Parking Lot, if you see a parking spot available, we highly recommend taking the spot (paying for it via the kiosk) and loading in from there. As we mentioned in the PARKING section on this page, there is not much of a difference distance-wise between the parking spaces at South Hall and the loading zone. 

Proceed to the rear of the venue where one of our team members and/or volunteers will be waving vehicles into and out of the interior loading zone located at the rear of the venue. Once you have removed all your booth materials and products from your vehicle, you will be instructed to remove your vehicle from the loading zone and find parking.


Saturday Load-in Instructions

NOTE: This is the regular event load-in. As opposed to the Friday Load-in, it is free. 

Load-in on Saturday will take place between 6 AM and 10 AM. Please note that we will not accept any early or late load-in attempts. We will cut off load-ins at 10 AM sharp.

Your dolly or cart

While we will have a few dollies available, we highly recommend bringing your own dolly or cart if you have one. As mandated by the venue, a union worker(s) must be on-site during load-in (and load-out). If you need help carrying or carting anything into the venue, a union worker(s) will be on-hand to assist you.

When you arrive…

Once you arrive to South Hall at 435 S. Market St., San Jose, CA 95113, you can enter through the parking entrance on Market Street or the parking entrance on the corner of Balbach Street and Almaden Avenue.

NOTE: When you enter the South Hall Parking Lot, if you see a parking spot available, we highly recommend taking the spot (paying for it via the kiosk) and loading in from there. As we mentioned in the PARKING section on this page, there is not much of a difference distance-wise between the parking spaces at South Hall and the loading zone. If the parking kiosk in the back is not working, there is a parking kiosk near the front of the venue near Market Street.

Proceed to the rear of the venue where one of our team members and/or volunteers will be waving vehicles into and out of the interior loading zone located at the rear of the venue. Once you have removed all your booth materials and products from your vehicle, you will be instructed to remove your vehicle from the loading zone and find parking.


Wifi

The venue's wifi is named WickedlyFastWifi. There is no password to access it and it is FREE to use. Based on last year, it seemed stable even during peak hours however, as always, we recommend not solely relying on the wifi to take transactions. We recommend being able to use mobile data or a mobile hotspot in case the wifi slows down during peak traffic times.


Food & Drink

We’ll be posting the locally sourced food menu and drink menu the Monday prior to the event. The menu will include a vegetarian option. Our drink menu will include beer and wine beverages as well as non-alcoholic beverages. Both vendors and attendees may walk around the venue with their beverages so long as they are 21 and older and are wearing the proper wristband to identify this.

We will have volunteers at the event distributing food and non-alcoholic beverage order forms. If you do not want to leave your booth, you can give the filled out form and cash to the volunteers and they will retrieve the food for you.

Like last year, local favorite Academic Coffee will have a pop-up cafe serving coffee and espresso drinks throughout the entire event.


Tips for selling & succeeding at the event

Invite your own followers, incentivizing them with an opportunity to meet you, the maker!

What makes shopping your products in-person a different experience than shopping your products online? Do you have any special promotions, new product releases or sales happening during the event? Make sure to let your followers know! 

Remember to post in your Instagram Story.

We've found posting in our Instagram Story about our events to be very effective. We recommend posting about the event one week prior to the event, a few days before the event and then approximately 12-24 hours prior to the event.

Remember to invite your followers and friends on Facebook.

We recommend sharing the event (https://www.facebook.com/events/1977289015625837/) or inviting your friends and followers through the Facebook Event.

Booth verticality is important.

One of the biggest keys to success is having a strong element of verticality to your display. While not everything needs to be vertically displayed, we highly recommend having one to a few visual elements to your booth that are more vertically oriented (vs horizontally oriented) so that they may catch people's eyes and draw them in. Not everyone is going to stop and browse at every booth. Sometimes your display will need to provide a passerby with a visually compelling reason to stop and browse and shop.

Engage your potential customers to the best of your own abilities and preferences.

Every vendor is different. Every customer is different. We trust that you know how to talk to customers about your work and how to guide them through a purchase. However, for those who are new to selling at craft fairs, we want to take this time to discourage one thing: Spending too much time on your phone or device during the event. There are going to be a lot of customers at this event who want to #shoplocal and, for many of them, part of the #shoplocal experience entails talking to the local maker about their work, understanding how its special and of high quality. There is nothing more deflating for a potential customer than walking by a booth and seeing a vendor deep into whatever it is that's on their phone. 

Stay hydrated.

Very underrated. Even though it's an indoor event in the winter, we highly recommend bringing a sufficient amount of drinking water. 


Counterfeit Cash

Given that the event will be very busy and at times, you may be taking multiple transactions at once or at least in a short span of time. Therefore, we want to remind you to always be aware of the cash you are receiving. If a $100, $50 or even a $20 bill looks suspicious and possibly counterfeit, you should NOT feel obligated to take it. There is nothing wrong with telling the customer that you do not feel comfortable taking the cash because you cannot verify its authenticity.

Feel free to consult your booth neighbors or boothmates OR notify a SJMADE staff member at the info booth if you receive a questionable bill.

Leaving your booth overnight

We will lock the venue and secure the premises (with a security guard):

  • From Friday, Dec. 14 at 7 PM to Saturday, Dec. 15 at 6 AM

  • From Saturday, Dec. 15 at 6 PM to Sunday, Dec. 16 at 8 AM.

For past events, we have not had any issues with theft or damage overnight. That being said, leave things at your booth overnight at your own discretion. We are not liable for any damaged or stolen property.

Our friends at CONTENT (http://content-magazine.com/home/) will be bringing their always-incredible photobooth experience to this year’s San Jose Craft Holiday Fair. Through tremendously high-quality photography and storytelling, CONTENT spotlights and showcases the innovative and creative people of San Jose and Silicon Valley. CONTENT’s photobooth will allow anyone attending the event and anyone vending at the event the opportunity to get their photo taken by one of CONTENT’s professional photographers—making this an amazing and FREE opportunity to update your social profile photo or website photo. Plus vendors at the event will receive a discount on any subscription purchases.

Participation Agreement

By participating in the event, you are agreeing to the following terms:

  • Vendors must not leave any trash or mess in their area upon vacating their booth space.

  • All vendors who participate in the event must submit an application and have their application accepted by SJMADE. Any non-accepted, non-approved vendor will be removed from the event by event staff.

  • SJMADE expressly forbids the selling or reselling of event space by any third parties.

  • SJMADE is not liable for any damaged property or stolen property.

  • SJMADE and/or representatives or any member or employee of the event is not responsible for any injury, loss or damage cause by any exhibitor, his/her employee or property.

  • The Exhibitor, upon participating in this event, expressly releases the forgoing names, parties, individuals and employees from any and all claims for such loss, damage or injury.

  • There are no booth fee refunds due to bad weather, acts of terrorism, or acts of God.


Sunday Load-out Instructions

Load-out on Sunday will take place between 5 PM and 9 PM. Please note that we will not accept any early or late load-out attempts. The venue will be locked at 9 PM. 

If you need help carrying or carting anything to the loading zone, a union worker(s) will be on-hand to assist you. Per their contract, a union worker will not be able to help carry or cart anything outside of the venue (unless they say otherwise), e.g. if you park three blocks away, they won't be able to help carry or cart anything to your vehicle parked three blocks away. 

If you want to cart or carry your stuff to your parked vehicle, you are more than welcomed to do so. If you use one of our dollies, please return it before leaving. 

If you want to bring your vehicle into the interior loading zone, enter through the parking entrance on Market Street. Proceed to the rear of the venue where one of our team members and/or volunteers will be waving vehicles into and out of the interior loading zone located at the rear of the venue. 

All of your stuff must be out of the venue at 9 PM.

Friday Afternoon Vendor Load-in

Follow these instructions:

  1. Click on the ADD TO CART button. The form should appear.

  2. Fill out the form. Once you're finished, click the "Add to Cart" button at the bottom of the form.

  3. You'll be taken back to this page. 

  4. To pay, find the Shopping Cart icon. If you're applying via desktop or laptop, scroll up and click on the Shopping Cart icon in the top-right corner of the screen. If you're applying via mobile or tablet, a Shopping Cart icon should appear at the bottom of your screen. 

  5. After clicking the Shopping Cart icon, you'll be taken to a Checkout page. Follow the instructions from there until you have successfully submitted your payment. You'll receive a confirmation in your email if the payment has gone through successfully.

By purchasing this vendor amenity, you will be able to access the venue between the hours of 12 PM and 4 PM on Friday, Dec. 14, 2018. During this time you may load-in and setup your booth. At 4 PM, we will no longer allow any load-ins to happen. We will be leaving and locking the venue for the day at 6 PM. There will be a union worker on-hand to help with any heavy load-in items.

NOTE: Load-in on Saturday morning of Dec. 15, 2018 will begin at 6 AM. Saturday morning load-in is free of cost to vendors.
