Join San Jose Made (SJMADE) and hundreds of craft makers, food producers, artists, designers and small businesses for this year's San Jose Craft Holiday Fair! Over the course of two days, San Jose Craft Holiday Fair will offer a festive, large-scale, all-in-one holiday shopping experience featuring an amazing showcase of handcrafted, artisan and brilliantly made goods perfect for gifting this 2017 holiday season!


NOTE: When referring to the venue of the event, we highly suggest using the venue's name "South Hall" and the specific address of 435 S. Market St, San Jose, CA 95113. While South Hall is technically a "Convention Center building", we have found that using the term "Convention Center" misleads people into going to the Main Convention Center building as opposed to South Hall, which is an entirely separate building.

EXTRA VENDOR AMENITIES

DEADLINES

We will only be accepting purchases for Access to Electricity that are made before Tuesday, Dec. 5 at 11:59 PM.

We will only be accepting purchases for Friday Load-in that are made before Thursday, Dec. 14 at 11:59 PM. 

We will be providing one table and one chair per maker at no extra cost to the maker. This means even if you are accepted for a shared booth with another maker, you will EACH receive a table and a chair. The table is 8' long. You do not have to use the table if you don't want to. If possible, let us know beforehand if you will not be using our table. 

INSTRUCTIONS

1. Click on the ADD TO CART button. 

2. Fill out the form. Once you're finished, click the "Add to Cart" button at the bottom of the form.

3. You'll be taken back to this page. 

4. You must pay for the extra vendor amenities here. To pay, find the Shopping Cart icon*.

*If you're applying via desktop or laptop, scroll up and click on the Shopping Cart icon in the top-right corner of the screen. If you're applying via mobile or tablet, a Shopping Cart icon should appear at the bottom of your screen. 

5. After clicking the Shopping Cart icon, you'll be taken to a Checkout page. Follow the instructions from there until you have successfully submitted your payment. You'll receive a confirmation in your email if the payment has gone through successfully.

San Jose Craft Holiday Fair 2017 - Friday Load-in (12 PM to 4 PM)

By purchasing this vendor amenity, you will be able to access the venue between the hours of 12 PM and 4 PM on Friday, Dec. 15, 2017. During this time you may load-in and setup your booth. At 4 PM, we will no longer allow any load-ins to happen. We will be leaving and locking the venue for the day at 6 PM. There will be a union worker on-hand to help with any heavy load-in items. NOTE: Load-in on Saturday morning of Dec. 16 will begin at 6 AM.

YOUR BOOTH

  • Each booth space is 10'x10' in size. If you purchased a Full Booth, you will have access to all 10'x10' of space. If you purchased a Shared Booth, you will be sharing this 10'x10' of space with another maker. You should have been informed of your booth partner by now. If you haven't please contact kbiggers@sanjosemade.com immediately. 
  • Each vendor will receive use of a complimentary 8' table and a complimentary chair. Even if you are sharing a booth, you and your booth partner will each receive a table. You do not have to use our tables or chairs if you do not want to.
  • Each booth comes with a pipe and drape backdrop at the back of your booth. The drape is white.
  • Each booth will have a three-foot-high divider dividing it from its neighboring booths or booth. If you would like to move or remove the divider, please consult with your booth neighbor and a San Jose Craft Holiday Fair team member before doing so.
  • While we want your booth to be able to express your brand to its fullest extent, we ask that you please be considerate of your neighboring vendors. Any noises, visuals or experiences that are deemed detrimental to your neighboring vendors' and the overall event's experience are prohibited.
  • The venue is indoors however last year, the heating was operating at a diminished capacity. This year, the venue will install back-up heating equipment if the venue's heating is once again operating at a similar diminished capacity. Still, given the cold winter weather, just in case, we highly recommend bringing a warm winter jacket with you.
  • Just to address a common question from vendors who are new to this event: There are no booth spaces that are better or worse than any of the others. We do realize that there are sometimes venues with funky layouts or multiple floors where one booth location can definitely feel like it's better or worse than other booth locations. However, South Hall is one large giant rectangular hall. The booths are arranged in straight simple rows and based on last year, pretty much anyone who attended the event walked through all of the rows. Distribution of good sales experiences (and there were a lot!) amongst vendors was spread throughout the entire venue, not focused on specific locations. 

LEAVING YOUR BOOTH OVERNIGHT

We will lock the venue and secure the premises from Friday at 6 PM to Saturday at 6 AM AND from Saturday at 7 PM to Sunday at 10 AM. While we are confident that no theft or damage will occur to any of the booths during these times, we are not liable for any damaged or stolen property. Please leave things--especially your valuables--at your booth overnight at your own discretion. 


SCHEDULE

FRIDAY, Dec. 15
FRIDAY LOAD-IN. 12 PM to 4 PM. 
You must pay $10 for this extra vendor amenity. You will not be allowed to load-in on Friday if you have not purchased the Friday Load-in option. Scroll up on this page to find the purchase option.
VENUE IS LOCKED. 6 PM. At this point in time, the doors to the venue will be locked and secured. No vendor access will be allowed past this time.

SATURDAY, Dec. 16
SATURDAY LOAD-IN. 6 AM TO 10 AM. 
This is the regular load-in time. It does not require any additional purchase.
THE EVENT. 11 AM TO 6 PM. Doors open to the public.
VENUE IS LOCKED. 8 PM. At this point, the doors to the venue will be locked and secured. No vendor access will be allowed past this time.

SUNDAY, Dec. 17
VENUE OPEN TO VENDORS. 9 AM.
Only vendors will be allowed into the venue at this point in time. 
THE EVENT. 11 AM to 6 PM. Doors open to the public.
LOAD-OUT. 6 PM to 9 PM. All of your stuff must be out of the venue by 9 PM. 


CONTACT BEFORE & DURING THE EVENT

If you have any questions in the days leading up to the event, email is the best option. Email kbiggers@sanjosemade.com. 

If you have any questions during the event, you can do one of the following:

  • Email kbiggers@sanjosemade.com and someone from the SJMADE staff will come to you. Please make sure to mention your business name in your email. 
  • Go to the info booth near the front entrance of the venue. There should be SJMADE staff and volunteers there. 
  • Look for anyone wearing a SJMADE or SJCraft Shirt with a yellow volunteer lanyard. We'll be having staff and volunteers walk through the event periodically so feel free to flag down one of these people.

WIFI

The venue's wifi is named WickedlyFastWifi. There is no password to access it and it is FREE to use. Based on last year, it seemed stable even during peak hours however, as always, we recommend not solely relying on the wifi to take transactions. We recommend being able to use mobile data or a mobile hotspot in case the wifi slows down during peak traffic times.


PARKING

There is no specific vendor parking lot at the event. Below are our recommendations. For parking in downtown SJ, we always recommend checking out the ParkSJ website (http://parksj.org) which lists all the ParkSJ lots throughout the area, while including their pricing and driving directions.

South Hall Parking Lot - 435 S. Market St, San Jose, CA
Surrounding the venue is the large South Hall parking lot. It has 155 spaces. It costs $7 for the entire day. You must purchase parking through the ParkSJ kiosks on-site. This is the best parking option given its super close proximity to the venue. It's even very easy to load-in from any of the parking spaces. 

Almaden/Balbach Parking Lot - 500 Almaden Blvd, San Jose, CA
The Almaden/Balbach Parking Lot is a half a block away from the venue. It has 45 spaces. It costs $7 for the entire day. You must purchase parking through the ParkSJ kiosks on-site. This lot is close to the venue and depending on your booth materials and products, it is fairly easy to cart/carry your stuff to and from this lot. 

Almaden/Woz Parking Lot - 401 Almaden Blvd, San Jose, CA
The Almaden/Woz Parking Lot is a block away from the venue. It has 390 spaces. It costs $7 for the entire day HOWEVER if there is a special event happening in the Main Convention Center building, it could cost up to $25 for the entire day. If you decide to park here, please read the signs at the entrance carefully. You must purchase parking through the ParkSJ kiosks on-site. 

Convention Center Parking Lot
We recommend avoiding the Main Convention Center Parking Lot if you can which has entrances on both Market Street and Almaden Blvd. Parking costs $20 for the entire day HOWEVER if there is a special event happening in the Main Convention Center building, it could cost up to $25 for the entire day. As a vendor, you are arriving to the downtown SJ area early enough so there should be available parking in one of the three above parking lots.

FREE STREET PARKING ON SUNDAYS
On Sundays, parking on the streets in downtown SJ is free HOWEVER please read the parking signs before parking your vehicle. There are some side streets in the area (the more residential areas) that are parking-permit-only. The side streets that are parking-permit-only in the area enforce their permitting rules even on Sundays. 


FRIDAY LOAD-IN INSTRUCTIONS

12 PM to 4 PM

NOTE: You must pay $10 for this extra vendor amenity. You will not be allowed to load-in on Friday if you have not purchased the Friday Load-in option. You can use the form below (or the one above within EXTRA VENDOR AMENITIES section) to secure Friday Load-in.

While we will have a few dollies available, we highly recommend bringing your own dolly if you have one. As mandated by the venue, a union worker must be on-site during load-in (and load-out). If you need help carrying or carting anything into the venue, a union worker will be on-hand to assist you. We will keep the venue open from 4 PM to 6 PM to allow vendors to setup their booth however we will not allow any load-ins during this time. 

Once you arrive to South Hall at 435 S. Market St., San Jose, CA 95113, enter through the parking entrance on Market Street. Proceed to the rear of the venue where one of our team members and/or volunteers will be waving vehicles into and out of the interior loading zone located at the rear of the venue. Once you have removed all your booth materials and products from your vehicle, you will be instructed to remove your vehicle from the loading zone and find parking. 

If there are parking spaces available and you prefer just to park and load-in from your parking space, feel free to do that. As we mentioned in the PARKING section on this page, there is not much of a difference distance-wise between the parking spaces at South Hall and the loading zone.

6 PM to 9 PM

Load-out on Sunday will take place between 6 PM and 9 PM. Please note that we will not accept any early or late load-out attempts. The venue will be locked at 10 PM. As mandated by the venue, a union worker must be on-site during load-out (and load-in). If you need help carrying or carting anything to the loading zone, a union worker will be on-hand to assist you. Per their contract, a union worker will not be able to help carry or cart anything outside of the venue (unless they say otherwise), e.g. if you park three blocks away, they won't be able to help carry or cart anything to your vehicle parked three blocks away. 

If you want to cart or carry your stuff to your parked vehicle, you are more than welcomed to do so. If you use one of our dollies, please return it before leaving. 

If you want to bring your vehicle into the interior loading zone, enter through the parking entrance on Market Street. Proceed to the rear of the venue where one of our team members and/or volunteers will be waving vehicles into and out of the interior loading zone located at the rear of the venue. 

All of your stuff must be out of the venue at 9 PM.

TIPS FOR SELLING & SUCCEEDING AT THE EVENT

Invite your own followers, incentivizing them with an opportunity to meet you, the maker!

What makes shopping your products in-person a different experience than shopping your products online? Make sure to let your followers know! 

Remember to post in your Instagram Story.

We've found posting in our Instagram Story about our events to be very effective. The most important two times for us are 1) about 24 hours prior to the event start and 2) the morning of the event. For #1, it gives our followers a chance to consume the video throughout the day, often times when they're planning their weekend. For #2, it gives our followers a nice morning reminder. 

Remember to invite your followers and friends on Facebook.

We recommend sharing the event (https://www.facebook.com/events/468220570210509/) or inviting your friends and followers through the Facebook Event.

Booth verticality is important.

One of the biggest keys to success is having a strong element of verticality to your display. While not everything needs to be vertically displayed, we highly recommend having one to a few visual elements to your booth that are more vertically oriented (vs horizontally oriented) so that they may catch people's eyes and draw them in. Not everyone is going to stop and browse at every booth. Sometimes your display will need to provide a passerby with a visually compelling reason to stop and browse and shop.

Signs with simple key messages work.

We don't want to delve too deeply into display recommendations because we trust that you, the maker, know best on how to display your product and promote your products and brand. That being said, if you are looking for signage suggestions, we recommend signs with simple key messages. Keywords and phrases like "LOCAL", "LOCAL MAKER", "LOCALLY MADE", "SAN JOSE MADE", "BAY AREA MADE", "HANDMADE", "HANDCRAFTED", "SMALL BATCH", "MEET THE MAKER" do a good job of conveying very efficiently that you and your products are special and are only there for a limited time. 

If you have special promotions, sales or discounts, make sure they're well displayed.

It is certainly not necessary for you to have special promotions, sales or discounts in order to find success at the craft markets so please don't feel pressured to have them. You know what works best for you. However, if you do already have or have planned special promotions, sales or discounts for the craft markets, make sure these promotions are well displayed. For example, if you have discount on bulk purchases, make sure anybody walking by knows about this. In other words, if you're going to have a special promotion, you might as well promote it as visibly and effectively as possible!

Engage your potential customers to the best of your own abilities and preferences.

Every vendor is different. Every customer is different. We trust that you know how to talk to customers about your work and how to guide them through a purchase. However, for those who are new to selling at craft fairs, we want to take this time to discourage one thing: Spending too much time on your phone or device during the event. There are going to be a lot of customers at this event who want to #shoplocal and, for many of them, part of the #shoplocal experience entails talking to the local maker about their work, understanding how its special and of high quality. There is nothing more deflating for a potential customer than walking by a booth and seeing a vendor deep into whatever it is that's on their phone. 

Stay hydrated.

Very underrated. Even though it's an indoor event in the winter, we highly recommend bringing a sufficient amount of drinking water. 


FOOD & DRINK

We will have locally loved Academic Coffee popped up for both days selling coffee, espresso drinks and hot chocolate. If you're in need of coffee in the morning after setting up, we recommend checking out the Academic Coffee Pop-Up within our event! 

Once again, our super amazing friends at Team San Jose (http://www.sanjose.org) have crafted a tremendous, locally sourced food and drink menu for our holiday fair event. We're so thrilled with the menu they've created this year and so happy to have them as our partners once again!

After the event food & drink options...

If you're looking for food and drink after the event, there are many wonderful food and drink options a short-one-block walk away from the venue. The area one block away is called SoFA District. You can find many eateries and places to drink on First Street and in the immediate surrounding area. 


COUNTERFEIT CASH

Given that the event will be very busy and at times, you may be taking multiple transactions at once, we want to remind you to always be aware of the cash you are receiving. If a $100, $50 or even a $20 bill looks suspicious and possibly counterfeit, you should not feel obligated to take it. Feel free to consult your booth neighbors or boothmates if you receive a questionable bill. 


PARTICIPATION AGREEMENT

By participating in the event, you are agreeing to the following terms:

  • Vendors must not leave any trash or mess in their area upon vacating their booth space.
  • All vendors who participate in the event must submit an application and have their application accepted by SJMADE. Any non-accepted, non-approved vendor will be removed from the event by event staff. 
  • SJMADE expressly forbids the selling or reselling of event space by any third parties. 
  • SJMADE is not liable for any damaged property or stolen property.
  • SJMADE and/or representatives or any member or employee of the event is not responsible for any injury, loss or damage cause by any exhibitor, his/her employee or property.
  • The Exhibitor, upon participating in this event, expressly releases the forgoing names, parties, individuals and employees from any and all claims for such loss, damage or injury.
  • There are no booth fee refunds due to bad weather, acts of terrorism, or acts of God.
